Author Guidelines

These guidelines are for authors whose papers will appear in a volume of Conference Proceedings in Science and Management (CPSM). Authors do not submit to CPSM directly. You submit to your conference, and its volume editors run peer review. Peer review is conducted by the conference organizing committee under standards set by the series, independently cross-checked by the CPSM Editorial Advisory Board and the Editor-in-Chief, who hold final authority over acceptance.

Who Reads CPSM

Researchers, graduate students, and practitioners in engineering, the sciences, computing, and management. Write for a specialist reader outside your own group: define terms, state what is new, and say how it compares with existing work.

Article Types

TypeWhat it isLengthReviewed
Proceeding PaperOriginal research with introduction, method, results, and conclusionsUp to 8 pages in the templateYes
AbstractA single-paragraph summary or an extended abstract of work presented at the conferenceUp to 4 pagesYes

Preparing the Manuscript

  • Use the CPSM template from the Templates page, in the reference style your conference has chosen: IEEE or APA 7th edition. Styles are never mixed within a volume.
  • Give the title, every author's full name and affiliation (department, institution, city, country), an email address for every author, and an ORCID iD for the corresponding author. ORCID iDs are recommended for all authors.
  • Write an abstract of about 200 words, and no more than 300, and give three to ten keywords.
  • Define each abbreviation at first use in the abstract and again in the main text.
  • Use SI units.
  • Set equations as editable text, not images. Supply tables as editable text.
  • Supply figures at 300 dpi or more, in PNG, JPEG, or TIFF, with a caption that explains each figure on its own.
  • Cite every source. Every reference must be real, relevant, and complete, with a DOI where one exists. The editorial office checks each reference against its source and queries any that cannot be verified or do not support the statement they are cited for.

Language

Papers are published in English. Please have the manuscript checked for language before submission. The office copyedits accepted papers for consistency and US spelling, but a paper that needs extensive rewriting may be returned to the volume editors, which can move it to a later issue.

Declarations

Every published paper prints four declarations before the references: funding, use of generative AI, data availability, and conflicts of interest. Supply all four with your final version. Where research involved human participants, personal data, or animals, name the ethics committee and approval number and confirm that consent was obtained.

Generative AI

Declare any use of generative AI, naming the tool and what it was used for. AI may help with language, code, or figures if you check the result, but must not generate data, images of results, or references, and cannot be an author. The full policy is on the Editorial Policies page.

Originality and Presentation

Your paper must be original, not published or under review elsewhere, and screened for similarity by your conference. A preprint is not prior publication, but please disclose it. One of the authors must present the paper at the conference, in person or online. A paper that is not presented is not published.

After Acceptance

The corresponding author signs a Consent to Publish on behalf of all authors. The author list cannot change after acceptance without the written agreement of every author and the approval of the editors. You will receive a letter naming the volume and issue of your paper. The office may send queries through your volume editors during copyediting, and the published paper will carry a Crossref DOI.

Copyright and Charges

You keep the copyright in your paper, which is published under CC BY 4.0. CPSM never invoices authors. Charges are settled by the conference, as set out on the Open Access and APC page.

Questions

Ask your conference's volume editors first. Questions they cannot answer may be sent to info@shoramedits.com.

Conference Proceedings Submission Preparation Checklist

By submitting, the authors confirm that:

  • The paper is original, has not been published elsewhere, and is not under consideration by any other publication. Any preprint has been disclosed.
  • Every listed author meets the ICMJE authorship criteria and has approved the manuscript. No one who meets the criteria has been left out.
  • The manuscript uses the CPSM template and the reference style chosen by the conference, and every reference is real, complete, and relevant.
  • The funding, generative AI, data availability, and conflict of interest declarations are included.
  • Where the research involved human participants, personal data, or animals, ethics approval and consent are stated with the approval number.
  • Permission has been obtained for any third-party figure, table, or text not under an open license.
  • One of the authors will present the paper at the conference.
  • The authors agree to publication under the CC BY 4.0 license.

Conference Proposals

For conference organizing committees proposing a volume. Proposals are evaluated by the Editor-in-Chief with the Editorial Advisory Board against the conference quality criteria. Proposals are not published.

Proceeding Papers

Original research papers of up to eight pages in the CPSM template. Peer review is conducted by the conference organizing committee under standards set by the series, independently cross-checked by the CPSM Editorial Advisory Board and the Editor-in-Chief, who hold final authority over acceptance. Single-blind, with at least two independent reviewers per paper.

Abstracts

Single-paragraph or extended abstracts of up to four pages, summarizing work presented at the conference. Peer reviewed under the same process as Proceeding Papers.

Privacy Statement

This statement explains how Conference Proceedings in Science and Management (CPSM) and its publisher, SHORAM Editorial Services, collect and use personal data. SHORAM Editorial Services is the data fiduciary under India's Digital Personal Data Protection Act, 2023, and the controller for the purposes of the GDPR and the UK GDPR.

What We Collect

  • names, affiliations, email addresses, and ORCID iDs of authors, volume editors, and board members;
  • manuscripts, forms, and correspondence sent to the editorial office;
  • account details of registered users of this site, with passwords stored only in encrypted form; and
  • server logs, including IP address and browser type, kept for security.

CPSM does not receive reviewers' names or reports. Those stay with the conference that ran the review.

Why We Use It

Personal data is used only to run the series: to handle conference proposals and papers, to correspond about them, to publish accepted papers, to register DOI metadata, and to keep the scholarly record accurate. It is never sold, rented, or used for marketing.

The names, affiliations, ORCID iDs, and corresponding-author email address printed on a published paper become part of the public scholarly record.

Who Receives It

  • Crossref, and services that read Crossref and OAI-PMH metadata, receive the published metadata of each paper;
  • conference volume editors receive what they need to complete editorial queries on their volume;
  • hosting and email providers process data on our instructions and under confidentiality obligations;
  • preservation services will receive published content once deposit begins; and
  • authorities receive data only where the law requires it.

Cookies

The site sets only the cookies needed for login and session management. It uses no advertising or tracking cookies. The site's typeface is loaded from Google Fonts, so Google receives your IP address when a page loads.

How Long We Keep It

Data printed in a published paper is kept permanently as part of the scholarly record. Correspondence and files about a volume are kept for eight years after the volume is complete, to support corrections, integrity inquiries, and tax records, and are then deleted. Account data is kept while the account is active.

Your Rights

You may ask to see, correct, or delete the personal data we hold about you, or withdraw consent to its use. Account data not connected to a published paper is deleted within 30 days of a request. Data printed in a published paper can be corrected, for example after a change of name, but not removed, because that would alter the scholarly record.

Contact

Data protection requests and grievances go to Dr. Ritesh Ramakrishna Bhat, SHORAM Editorial Services, at info@shoramedits.com, with "Data request" in the subject line. We reply within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India or, in the EU or UK, to your data protection authority.
