For Conference Organizers

For Conference Organizers

Conference Proceedings in Science and Management (CPSM) publishes the proceedings of scholarly conferences as numbered volumes of an open-access series. This page explains what a conference must meet, what it must provide, and what the series does in return.

Peer review is conducted by the conference organizing committee under standards set by the series, independently cross-checked by the CPSM Editorial Advisory Board and the Editor-in-Chief, who hold final authority over acceptance.

What CPSM Provides

  • a numbered volume dedicated to the conference, with its own front matter, preface, and Statement of Peer Review;
  • an independent cross-check of the conference's peer review by the Editorial Advisory Board and the Editor-in-Chief;
  • copyediting to house style, including a check of every reference in every paper against its source;
  • professional typesetting of each paper, with continuous pagination across each issue;
  • a Crossref DOI for every paper, registered on publication and checked for resolution;
  • permanent open-access hosting under CC BY 4.0, with metadata open to Google Scholar and OAI-PMH harvesters; and
  • handling of any later correction, retraction, or complaint under COPE guidance.

CPSM does not promise indexing in any database. The current position is on the Archiving and Indexing page.

Conference Quality Criteria

A proposal is considered only if the conference:

  • is a scholarly meeting held at a fixed time and place, in person, online, or hybrid, and not mainly a commercial event;
  • has a scope inside the disciplines on the Aims and Scope page, coherent enough for reviewers to judge the papers;
  • has a program or technical committee with members from more than one institution and more than one country, whose expertise matches the conference tracks;
  • has a public website on an institutional or conference domain, served over https, naming the organizing committee and the review process;
  • runs peer review meeting the minimum on the Peer Review Process page; and
  • names volume editors who meet the requirements below.

For a conference in a recurring series, the Editor-in-Chief may ask to see papers from an earlier edition before deciding.

Volume Editors

The organizing committee names three to five volume editors, confirmed by the Editor-in-Chief. Between them they must cover the tracks of the conference. At least one must work outside the host institution, and the series asks for at least one from outside the host country. Each should hold the rank of Associate Professor or equivalent research or industrial standing, with a publication record in the field.

The volume editors:

  • run the call for papers and the submission system;
  • assign independent reviewers and conduct peer review to the series minimum;
  • recommend papers for acceptance, with the final decision resting with the Editor-in-Chief after the cross-check;
  • collect the documents listed below for every paper;
  • write the preface and sign the Statement of Peer Review;
  • answer editorial queries from the office during production; and
  • cooperate with any later correction, retraction, or misconduct inquiry.

Limits That Protect Independence

  • A volume editor may be an author on no more than one paper in the volume. That paper is handled by another editor, and the author takes no part in its review.
  • No more than 25% of the papers in a volume may have an author from a volume editor's own institution, counted by every author's affiliation, not only the first.
  • Papers authored by volume editors, Editorial Advisory Board members, or SHORAM staff count toward the 25% limit and are reviewed independently, with that person recused.

Presentation Requirement

Every paper in a volume must have been presented at the conference by one of its authors, in person or online. The volume editors confirm this in the Statement of Peer Review. A paper that was not presented is not published. CPSM may decline a whole volume if the conference did not take place as announced.

Documents Required for Every Paper

DocumentIf missing
Final accepted manuscript in the CPSM templatePaper held for a later issue
Consent to Publish signed by the corresponding author for all authorsPaper removed from the volume
Similarity report from a recognized screening toolPaper removed from the volume
Author details: full names, affiliations, email address for every author, ORCID iD for the corresponding authorPaper held for a later issue

With the papers, the volume editors send the signed Statement of Peer Review and the table of contents. Production of an issue begins only when all of these are in hand.

Proposing a Conference

Submit a proposal through this site or by email to info@shoramedits.com, giving:

  • the conference title, edition, dates, venue, and format, and the conference website;
  • the host institution and any sponsors, with any commercial relationships declared;
  • the scope and tracks;
  • the program committee, with affiliations and countries;
  • the proposed volume editors, with short CVs and ORCID iDs;
  • the review plan: submission system, reviewers per paper, and timeline;
  • the expected number of papers and abstracts;
  • the reference style for the volume, IEEE or APA 7th edition; and
  • any request for a fee waiver.

Proposing a conference is free. The office acknowledges a proposal within five working days, and the Editor-in-Chief decides within 30 days of receiving complete documents, after consulting the Editorial Advisory Board. An accepted conference receives a decision letter and a Publishing Agreement.

From Acceptance to Publication

StageIndicative time
Conference peer reviewSet by the conference, typically 6 to 12 weeks
Cross-check by the Editorial Advisory Board and the Editor-in-ChiefWithin 21 days of receiving the complete volume
Final acceptance and issue assignmentWithin 14 days of the cross-check
Production and publicationIssues of up to 32 papers, published at the end of each month

Authors of accepted papers receive a letter naming the volume and issue. The Publication Frequency page explains how issues are built.

Charges

Article processing charges are paid by the conference, one invoice per issue, and each issue is paid before its production begins. Rates, volume discounts, and waivers are published on the Open Access and APC page.

Use of the CPSM Name

  • A conference may name CPSM as its publication venue only after its proposal has been accepted in writing.
  • A call for papers may say that accepted papers will be published in Conference Proceedings in Science and Management after peer review. It must not claim or imply that the volume is or will be indexed in Scopus, Web of Science, or any other database.
  • A conference must not promise authors publication in return for registration or payment. Acceptance depends on peer review and the cross-check.

A breach of these rules is grounds to decline or withdraw a volume.

What CPSM Does Not Do

  • It does not organize, sponsor, or co-host conferences.
  • It does not solicit conferences by bulk email or through paid agents.
  • It does not guarantee acceptance of any conference, volume, or paper.
  • It does not waive peer review or editorial standards for payment.
